Hand a roster off to SquadRotate
LeagueRun builds the roster. SquadRotate runs game day: substitutions and lineups from the sideline. Once a team is settled, you hand it to the coach.
You send a code. The coach enters it in SquadRotate and their roster appears. They do not retype anything.
Before you hand off
- Open Roster Builder and pick the division.
- Confirm the team is settled: coach assigned, players placed, and the assignments you care about locked.
Locking matters here. The code carries a snapshot of the roster as it stands when you push it. If you re-balance afterwards, unlocked players can move and the coach's copy will be out of date until you send a new code.
Send the code
- Push the team to SquadRotate from the roster screen. LeagueRun generates a short code for that team.
- Send it to the coach. The roster screen gives you a prefilled email addressed to them, or you can add the code to whatever you already send coaches.
Each team gets its own code. Do not send one coach another team's code.
What the coach does
They create their own SquadRotate account and enter the code. You do not need to set up accounts for them, and there is no list of approved coaches to maintain.
Because anyone with a code can use it, treat codes like you would a roster itself. Send them to the coach directly rather than posting them somewhere the whole league can see.
What crosses, and what does not
The code carries the player list, the team and division names, the coach's name, and the team's practice night, time, and field.
It does not carry parent contact details, registration records, waivers, or any medical or allergy information. Those stay in LeagueRun and SportsEngine and never reach the coaches' app. If a coach needs that information, send it to them yourself.
Adding a coach mid-season
Same steps. Assign them to their team, push it, and send the code. A team can have more than one code over the course of a season, so pushing again is safe and does not disturb the coaches who already imported.
When the roster changes
LeagueRun stays the source of truth for who is on a team. If a player drops, joins, or moves after you have handed off, push the team again and send the new code.
Entering a new code replaces the coach's roster rather than merging into it. Anything the coach added by hand will need to be added again, so tell them what changed when you send it.
If a coach cannot get in
Send them a fresh code first. That resolves most cases, including a code that has expired or one that went to the wrong address.
If they still cannot import, escalate it and the roster can be set up for them directly. A coach is never blocked from using SquadRotate in the meantime. They can build the roster by hand and import later.
